Create and manage prompts in Breeze Assistant

Summary
Create and manage prompts in Breeze Assistant to send reusable requests. Create saved prompts for common tasks, such as drafting follow-up emails, summarizing records, or preparing for meetings, then reuse them in future chats. Organize prompts with tags, choose which assistants can access them, and share prompts with your team. Reusing saved prompts saves time on recurring tasks and keeps prompting consistent across your team.

- Turn on Give users access to Breeze Assistant in your AI settings to use Breeze Assistant.
How to create prompts in Breeze Assistant
If you're a user in an account enrolled in the Prompt Sharing in Breeze Assistant public beta, you can share prompts with your team. Only Super Admins can edit or delete shared prompts created by other users.
To create prompts in Breeze Assistant:
- In the top navigation bar, click breezeSingleStarIcon Assistant in the top right.
- Click the three vertical dots icon and select Prompts.
- Click Add new prompt.
- Enter your prompt. Optionally click Add object placeholders (e.g., Contact) to require users to fill before using the prompt.
- Enter your prompt name. Give the prompt a clear name so users know what it does.
- Toggle the Let your team find and use this prompt switch on to share your prompt (BETA).
- When finished, click Save.
How to create a scheduled prompt in Breeze Assistant
Set up prompts that run on a configured schedule. Configure up to five automated prompts that are personal to your user.
- In the top navigation bar, click breezeSingleStarIcon Assistant in the top right.
- Click the three vertical dots icon and select Prompts.
- Click Add new prompt.
- Enter your prompt. Optionally click Add object placeholders (e.g., Contact) to require users to fill before using the prompt.
- Enter your prompt name.
- Click Schedule this prompt, then in the dialog box configure the following:
- Click the Frequency dropdown menu, then select an option (e.g., daily).
- Click the Time dropdown menu, then select a time. You can also enter a custom time.
- Click Done.
- Click Save.
Scheduled prompts appear in your chats history with a timeIcon scheduled prompt icon next to the chat name.
How to edit or delete prompts in Breeze Assistant
- In the top navigation bar, click breezeSingleStarIcon Assistant in the top right.
- Click the three vertical dots icon and select Prompts.
- Enter text in the Search field to locate the prompt.
- To edit a prompt, click the three vertical dots icon next to the prompt and select Edit. Continue to edit the prompt details.
- To delete a saved prompt, click the three vertical dots icon next to the prompt and select Delete. In the dialog box, click Delete prompt.
How to edit or delete scheduled prompts in Breeze Assistant
- In the top navigation bar, click breezeSingleStarIcon Assistant in the top right.
- Click the three vertical dots icon and select Prompts.
- Navigate to a scheduled prompt and click the three vertical dots icon.
- To edit the schedule:
- Click Edit scheduled prompt.
- In the Schedule section, click the editIcon edit icon to adjust the frequency and time.
- In the Schedule section, click the playerPauseIcon pause icon to stop the prompt from running. Resume a scheduled prompt turn it back on.
- Click Update.
- To delete the scheduled prompt:
- Click Delete scheduled prompt.
- In the dialog box, click Delete to confirm.
How to use saved prompts in Breeze Assistant
- In the top navigation bar, click breezeSingleStarIcon Assistant in the top right.
- Click the Saved prompts icon and select a saved prompt.
- To use a shared prompt (BETA), click the
three vertical dots icon and select Prompts.
- Click the Shared prompts tab.
- Click the name of a shared prompt.
- Click the breezeSendIcon send icon.
