After importing objects to HubSpot, you can view and analyze your previous imports in the imports dashboard. This can help you understand how a record was created and troubleshoot import errors. You can also delete the records of an import.
View past imports
- Navigate to your records:
- Contacts: In your HubSpot account, navigate to CRM > Contacts.
- Companies: In your HubSpot account, navigate to CRM > Companies.
- Deals: In your HubSpot account, navigate to CRM > Deals.
- Tickets: In your HubSpot account, navigate to CRM > Tickets.
- Custom objects: In your HubSpot account, navigate to CRM, then select the custom object.
- In the upper right, click Import.
- In the Past imports table, you can view the following information:
-
- Name: the name of the import.
- New records: the number of new records added. If a record already existed in your database prior to the import, it will not be included in this value.
- Updated records: the number of existing records updated by the import.
-
- Error count: the number of records in your import that resulted in an error.
- Source: the type of import selected.
- User: the name of the user in your account who imported the file.
- Created: the date the import was completed.
- To view records from an import, hover over the import, then click View [Records]. For multiple object imports, click the View dropdown menu, then select the object you want to view. You'll be brought to an index page view that lists all records from the import.
- To add the imported contacts to a new or existing list, hover over the import, click More, then select Add imported contacts to list.
- To start a new import with the same properties as a past import, hover over the import, click More, then select Use as template for new import. Imports completed more than six months ago and opt-out list imports are not available for use as templates. Learn more about repeating a past import.
- To view the original import file, click More, then select Download [Records]/original file. You can only download the original file of imports completed within the last six months, and only if you're the user who completed the import or have super admin permissions.
- If the import has errors, click More, then select:
- View rows with errors: review the rows containing errors on the import results page.
- Download error file: download a file to review errors outside of HubSpot. You can download an error file up to a year after the import was completed.
- To view more details about an import and its errors, click the name of the import.
- On the Summary card, view the number of rows imported, new records created, and existing records updated. To view imported records, click View [Records]. For multiple object imports, click View imported records, then select the object you want to view.
-
- If the import has errors, the Import errors section will appear and show errors from the import in a table. Learn how to review and troubleshoot import errors.
Save views of imported records
On an object index page, you can filter records based on if they were included in an import, then save the import filters as a saved view that you can revisit.
Please note: imports completed via API will not have the View [Records] option and will not be included in view filters.
To access a view of imported records, you can do one of the following:- Navigate to a view of records from an individual import on the Past imports table. To do so, hover over the import, then click View [Records]. For multiple object imports, click the View dropdown menu, then select the object you want to view. If you want to save views or delete records of all objects, you'll need to navigate to each object individually.
- Set filters based on one or multiple imports from an index page. If you're on an object index page:
- Above the table, click Advanced filters.
-
- In the right panel, search for and select Import.
- Select the filter criteria, then click the dropdown menu and select the checkboxes next to the imports you want to segment by.
-
- Click Apply filter, then click the X in the top right corner to exit the panel.
- In the top right, click the Save icon.
Delete imported records
You can also filter records added via import and delete the records created or updated by a specific import. For example, if you’ve imported all new records but made a mistake, you can delete all of the records and import again.
Please note: if you updated existing records via an import, you will not be able to reverse the changes by deleting. You would need to complete another import with the correct information or manually edit the properties.
To delete records from an import:
- Navigate to a view of the imported records.
- Select the checkboxes to the left of the records you want to delete. To select all records, select the checkbox at the top left of the table. A blue banner will appear telling you how many records are selected. Click Select all [records].
- At the top of the table, click delete Delete.
