View and analyze past imports

Available with any of the following subscriptions, except where noted:

After importing objects into HubSpot, review past imports in the imports dashboard. From there, you can see how records were created or updated, investigate errors, and manage records added by an import, including deleting them when needed.

View past object imports

Permissions required The user who completed the import or Super Admin permissions are required to download the original import file.

  1. In your HubSpot account, navigate to Data Management > Data Integration.
  2. Under the File imports tab, you can view the following information within the table:
    • Name: the name of the import.
    • New records: the number of new records added. If a record already existed in your database prior to the import, it will not be included in this value.
    • Updated records: the number of existing records updated by the import.
    • New associations: the number of new associations created by the import.
    • Errors: the number of records in your import that resulted in an error.
    • Import System: the source of the import (e.g., CRM Import).
    • Import Source: the type of import selected.
    • Created by User ID: the name and email of the user in your account who imported the file.
    • Object Create Date/Time: the date and time the import was completed.

  3. Above the table, click a property dropdown menu and select a criteria (e.g., Import Source > Mobile iOS) to filter your imports.
  4. Hover over the import, then click More and select from the following to filter your imports:
    • View [Records]: for multiple object imports, select the object you want to view. You'll be brought to an index page view that displays all records from the import.
    • Add imported contacts to segment: add imported contacts to a new or existing segment.
    • Use as template for new import: start a new import with the same properties as a past import. Imports completed more than six months ago and opt-out imports are not available for use as templates. Learn more about repeating a past import.
    • Download [Records]/original file: download the original file of imports completed within the last six months.
    • Download error file: download a file to review errors outside of HubSpot.
    • View rows with errors: review the rows containing errors on the import results page.
  5. Click the name of the import to view more details about an import and its errors:
    • On the Summary card, view the number of rows imported, new records created, and existing records updated. To view imported records, click View [Records]. For multiple object imports, click View imported records, then select the object you want to view.
    • On the Errors tab, review errors from the import. When no errors are present, a checkmark is displayed. Learn how to review and troubleshoot import errors.
    • On the [Records] tab (e.g., Deals), review the records created or updated by the import. In the table you can also:
      • Navigate to the record: click the name of a record to go to the record page.
      • Make property value changes: select the checkboxes next to the records you want to edit. Click Edit.
      • Add records to a segment: select the checkboxes next to the records you want to modify. Click More and then select Add to static segment.
      • Create tasks: select the checkboxes next to the records you want to modify. Click More and then select Create tasks.
      • Enroll records in a workflow: select the checkboxes next to the records you want to modify. Click More and then select Enroll in workflow.
      • Delete records: select the checkboxesnext to the records you want to modify. Click Delete.

Please note: if you updated existing records via an import, you will not be able to reverse the changes by deleting. You would need to complete another import with the correct information or manually edit the properties.

Save views of imported records

On an object index page, you can filter records based on if they were included in an import, then save the import filters as a saved view that you can revisit.

Please note: imports completed via API will not have the View [Records] option and will not be included in view filters.

To access a view of imported records, you can do one of the following:

  1. Navigate to a view of records from an individual import on the File imports table. To do so: 
    • Hover over the import, then click More > View [Records].
    • For multiple object imports, select the object you want to view. If you want to save views or delete records of all objects, you'll need to navigate to each object individually.
  2. Set filters based on one or multiple imports from an index page:
    • In your HubSpot account, navigate to CRM > Contacts.
    • In the upper left, click the object dropdown menu, then select an object.
    • Above the table, click Advanced filters.
    • In the right panel, search for and select Import.
    • Select the filter criteria, then click the dropdown menu and select the checkboxes next to the imports you want to segment by.
    • Click Apply filter, then click the X in the top right corner to exit the panel.
    • In the top right, click the saveEditableViewIcon Save icon.

Add imported contacts to a segment

You can create a new segment of imported contacts from the Past imports table, or add the contacts from an import to an existing static segment.

  1. In your HubSpot account, navigate to Data Management > Data Integration.
  2. Hover over the contact import, click More, then select Add imported contacts to segment.
  3. In the dialog box, click the dropdown menu and select an option to add the contacts to a new static segment, an existing static segment, or a new active segment. Learn more about the differences between active and static segments.
  4. If you selected Existing static segment, in the dropdown menu that appears, select the segment.
  5. Click Add.
  6. You'll be brought to the segment where the contacts have been automatically added.
  7. If you created a new segment, finish setting up the segment.
