Sync deals between HubSpot and Salesforce

Use the updated deal object sync to connect HubSpot deals with Salesforce opportunities and control how records, pipelines, properties, and associations sync between both platforms.
For example, you can map a Salesforce opportunity record type to an existing HubSpot deal pipeline, then control which opportunities are eligible to sync and how matching records are identified.
The updated deal sync also supports configurable pipeline mappings, deal deduplication, deal merges, association sync, sync conflict rules, and selective sync.
Before you get started
Before using the updated deal sync, please note the following:
- The Salesforce integration must be connected to your HubSpot account.
- Once you switch to the updated deal sync, you cannot revert to the standard deal sync experience. It's recommended to test the updated deal sync in a developer test account or sandbox account before turning it on in a production account.
- When you turn on the updated deal sync, this may temporarily increase Salesforce API usage as the new sync indexes records. Once indexing is complete, API usage will return to normal.
- Existing pipeline mappings will be migrated to the updated deal sync automatically. You don't need to recreate existing mappings after turning on the updated sync.
- Only deals in HubSpot pipelines mapped to Salesforce opportunity record types are eligible to sync between HubSpot and Salesforce.
- Deal merges in HubSpot do not merge records in Salesforce.
Turn on the updated deal sync
To turn on the updated deal sync:
- In your HubSpot account, click the
settings icon in the top navigation bar. In the left sidebar menu, navigate to Integrations > Connected Apps. - Search for and select Salesforce.
- Click the Feature discovery tab.
- On the New Deal Sync card, click Enable.
- In the dialog box, click Enable.
After you turn on the updated deal sync, existing deal sync settings and pipeline mappings will be migrated automatically. Deal and opportunity records will continue syncing based on your configured sync settings.
Understand how the updated deal sync works
The updated deal sync includes the core syncing behavior of the standard deal sync. It also provides additional controls for pipeline mappings, deal deduplication, deal merges, association sync, sync rules, selective sync, and inclusion segments.
Pipeline mappings
With the updated deal sync, you can manage your pipeline settings, by mapping the record types in Salesforce to the corresponding deals pipelines in Hubspot. This lets you control which pipeline an opportunity syncs to in HubSpot and which Salesforce record type a HubSpot deal syncs to.
Existing mappings from the standard deal sync are migrated automatically when you turn on the updated deal sync. After migration, you can review and edit these mappings in your Salesforce integration settings.
To manage pipeline mappings:
- In your HubSpot account, click the
settings icon in the top navigation bar. In the left sidebar menu, navigate to Integrations > Connected Apps. - Search for and select Salesforce.
- Click the Data sync tab.
- In the left sidebar menu, click Deals > Pipeline mappings.
- For each HubSpot object pipeline, click the Salesforce record type dropdown menu, then select the Salesforce record type to map to that HubSpot pipeline.
- Click Save.
Association sync
Control which associations sync between HubSpot deals and Salesforce opportunities. You can configure which associations sync between HubSpot and Salesforce, which association labels to use, and the sync direction (Two-way sync, Salesforce to HubSpot only, or HubSpot to Salesforce only).
To configure the association sync:
- In your HubSpot account, click the
settings icon in the top navigation bar. In the left sidebar menu, navigate to Integrations > Connected Apps. - Search for and select Salesforce.
- Click the Data sync tab.
- In the left sidebar menu, click Deals > Associations.
- Click to toggle the associations you want to sync between Salesforce and HubSpot.
- Click the Primary association field dropdown menu and select the field you want HubSpot to use to associate the two objects.
- Click the Association label dropdown menu and select the association label you want to use.
- Click the Sync direction dropdown menu and select how you want the association to sync between HubSpot and Salesforce (Two-way sync, Salesforce to HubSpot only, or HubSpot to Salesforce only).

Deal deduplication
Deals can be deduplicated based on mapped field values. For records to match, the mapped field values must be identical in both HubSpot and Salesforce.
For example, if the Order Number property is mapped between HubSpot and Salesforce, deal records with the same order number will be mapped and synced.
Existing matched records aren't affected when you configure the deal deduplication logic. The deduplication settings apply when new deal and opportunity records are matched moving forward, after the updated deal sync is turned on.

Deal sync rules
Control what happens to deals and opportunities when records are created, updated, or deleted in HubSpot and Salesforce.
To manage these settings:
- In your HubSpot account, click the
settings icon in the top navigation bar. In the left sidebar menu, navigate to Integrations > Connected Apps. - Search for and select Salesforce.
- Click the Data sync tab.
- In the left sidebar menu, click Deals > Sync rules.

- For creating and updating records, configure the sync direction between HubSpot and Salesforce:
- Salesforce to HubSpot: select what happens in HubSpot when a Salesforce opportunity is created or updated.
- HubSpot to Salesforce: select what happens in Salesforce when a HubSpot deal is created or updated.
- For creating and updating records, configure the sync direction between HubSpot and Salesforce:

- For deleted records, configure what happens in HubSpot when a Salesforce opportunity is deleted:
- Salesforce to HubSpot: select whether the corresponding HubSpot deal is deleted when a Salesforce opportunity is deleted.
- HubSpot to Salesforce: when a HubSpot deal is deleted, the corresponding Salesforce opportunity is not deleted. This setting cannot be edited.
- For deleted records, configure what happens in HubSpot when a Salesforce opportunity is deleted:

Sync conflict rule
When a HubSpot deal matches a Salesforce opportunity for the first time, you can select which data source should be used if it's unclear which record contains the most up-to-date information.
The sync conflict rule only applies when records first sync.
To set up a sync conflict rule:
- In your HubSpot account, click the
settings icon in the top navigation bar. In the left sidebar menu, navigate to Integrations > Connected Apps. - Search for and select Salesforce.
- Click the Data sync tab.
- In the left sidebar menu, click Deals > Sync rules.
- Click the Resolve sync conflict rule dropdown menu and select the app that should be used to resolve any conflicts.
- Click Save.

Deal field mapping sync rules
Existing sync rules from the standard deal sync remain available. Additional field mapping sync rules, Always use HubSpot and Use HubSpot unless blank, lets you sync data from HubSpot to Salesforce for a field mapping.
Please note: the sync rule feature only applies when using a two-way object-level sync rule. If a one-way object-level sync rule is selected, the value is overridden in the one-way direction.
Deal merges
Deal merges are supported in HubSpot.
When two HubSpot deal records are merged:
- After merging the HubSpot records, the resulting record continues syncing with the Salesforce record that matches the selected salesforceobjectid value. To control which Salesforce record continues syncing with the resulting HubSpot record, select the corresponding salesforceobjectid value as the winning value during the merge.
- Salesforce records are not merged automatically.
Selective sync
Use selective sync to control which Salesforce opportunities are eligible to sync from Salesforce to HubSpot. Only opportunities that meet your configured filter criteria will sync to HubSpot.
To set up selective sync for deals:
- In your HubSpot account, click the
settings icon in the top navigation bar. In the left sidebar menu, navigate to Integrations > Connected Apps. - Search for and select Salesforce.
- Click the Data sync tab.
- In the left sidebar menu, click Deals > Sync rules.
- In the Selective Sync section, click Add filter.
- In the right panel, click the Field dropdown menu and select a field.
- Configure the filter criteria, then click Save and apply filter.
- Add additional filters as needed. Multiple filters are combined with AND logic.
- Toggle the selective sync switch on.
- Click Save.

Limit which HubSpot deals sync to Salesforce
Use an inclusion segment to control which HubSpot deals are eligible to sync to Salesforce.
When an inclusion segment is selected, only HubSpot deals that meet the segment criteria are eligible to sync to Salesforce.
