Enroll and unenroll contacts in sequences using workflows

Using workflows, you can automate sequence enrollment and unenrollment. Below, learn about example uses cases, limitations, and how to configure a workflow to automate sequences.

When to use workflows to automate sequence enrollment

Before adding this action to a workflow, it's important to consider your use case for automating sequence enrollment.

Some examples of good uses cases for automating sequence enrollment include:

  • Enrolling a contact in a sequence from a sales qualified form submission to schedule a meeting.
  • Enrolling a contact in a sequence as a hand-off from sales once a deal has closed.
  • Enrolling a contact into a sequence as a response to a meeting outcome of No show.

Some examples of when to not automate sequence enrollment include:

  • Enrolling a list of recently imported cold leads in a sequence to see which leads are active.
  • Enrolling any list of 100 or more contacts into a sequence using a workflow.
  • Enrolling contacts into sequences using unpersonalized criteria such as Create date is today.

Limitations

Keep in mind the following limitations for automated sequence enrollment:
  • If a user exceeds their daily send limit, the contact will not enroll in the sequence. The contact will instead skip the action.
  • Emails sent using sequence enrollments from a workflow will not include the user’s email signature. You can edit your sequence templates to include your signature.
  • If a sequence that's used in a workflow is deleted, the workflow will no longer enroll contacts in the sequence.
  • It's recommended to avoid using sequences that contain placeholder tokens, as you can't set the token value before contact enrollment. Instead, emails will be sent with the placeholder text.

Enroll contacts in sequences using workflows

To set up sequence enrollment in a workflow:

  • In your HubSpot account, navigate to Automation > Workflows.
  • To edit an existing workflow, hover over the workflow, then click Edit. Or, learn how to create a new workflow.
  • In the workflow editor, click the + plus icon to add an action.
  • In the actions panel, select Enroll in a sequence

  • Configure the action:
    • Use the Sequence dropdown menu to select the sequence that you want to enroll contacts in.
    • Use the Sender dropdown menu to select the user that will be listed as the sender of the sequence.

Please note: only users with a paid Sales Hub or Service Hub Enterprise seat can be selected as the sequence sender.

    • Use the Send from Email dropdown menu to select the sender's email address.
  • Click Save.

Unenroll contacts from sequences using workflows

You can use the Unenroll from sequence workflow action to unenroll contacts from a sequence they're currently active in.

To unenroll contacts from a sequence with a workflow:

  • In your HubSpot account, navigate to Automation > Workflows.
  • To edit an existing workflow, hover over the workflow, then click Edit. Or, learn how to create a new workflow.
  • In the workflow editor, click the + plus icon to add an action.
  • In the actions panel, select Unenroll from sequence

  • Click Save.
