Complete tasks

Complete tasks in HubSpot to keep up with your to-do list and track the work you've finished. Tasks can be marked as completed from the tasks index page, on a record, or in Gmail. To complete tasks back to back, you can complete tasks consecutively in a view.

Mark tasks as completed

You can mark tasks as completed individually or in bulk from a task view. This is useful if you've already carried out the action associated with a task and want to mark it as completed. For example, you call contacts from a list of opportunities you met at an event. You can select all tasks associated with those contacts and mark them as completed.

  1. In your HubSpot account, click More, then navigate to CRM > Tasks. If More doesn't appear in your account, navigate to CRM > Tasks directly.
  2. Navigate to a task view or filter the tasks you want to view.
  3. To the left of the task, click the complete task icon to mark an individual task as completed.complete-individual-task-index-page
  4. To mark tasks as completed in bulk:
    • Select the tasks you want to mark as complete:
      • Specific tasks on your page: select the checkboxes next to the tasks.
      • All tasks on your page: select the checkbox in the upper left of the table.
      • All task in the view: select the checkbox in the upper left of the table, then click Select all [x] objects.
    • At the top of the table, select Mark as completed.

Complete tasks consecutively in a view

Seats required An assigned Sales Hub Seat or Service Hub Seat is required to complete tasks back to back in a view.

To carry out the actions associated with each task and mark them as completed when you're done, complete tasks consecutively in a view.

  1. In your HubSpot account, click More, then navigate to CRM > Tasks. If More doesn't appear in your account, navigate to CRM > Tasks directly.
  2. Navigate to a task view or filter the tasks you want to view.
  3. Select a task start option:
    • All tasks in the view: click Start [x] tasks. start-tasks-in-view
    • Specific tasks: complete specific tasks sequentially. Select the checkboxes next to the tasks, then click Start [x] tasks at the top of the table. start-task-view
  4. You'll be redirected to the record associated with the first task.
    • If you've specified a task type (Email or Call), the corresponding activity editor will automatically open on the record.
    • While on a record, you can click any associated record in the record's right panel and still remain in the task view.
    • If a task isn't associated with a record, you'll be prompted to add associations, complete the task, or skip the task.
  5. If you can complete the task, do one of the following:
    • Complete the task in the activity editor (e.g., make a call), then click Complete. This may be [Log/Send] [activity] and complete depending on the activity you're completing.
    • If you're sending an email to a contact, choose whether to automatically complete the task when the email is sent:
      • At the bottom of the email editor, select the downCarat down carat
      • Select Send email and complete task to send an email and complete the task.
      • Select Send to send immediately or Send Later to schedule the email. This sends an email but keeps the task incomplete.
    • At the top, click the right arrow to move to the next task.

  6. If you can't complete the task, do one of the following:
    • To skip the task and move on to the next one, click the right arrow in the task navigation bar. The task will remain incomplete.
    • To reschedule the due date to a later date, click Reschedule in the task navigation bar. Once rescheduled, to move to the next task, click the right arrow.
  7. At the top, click the left arrow to move back to the previous task.
  8. In the top left of the task navigation bar, click the expand task sidebar icon to move back to the previous task. To close the sidebar, click the collapse task sidebar icon.

  9. In the upper right of the task navigation bar, click the X to exit the task view and remain on the record.

Please note: you can't delete a task on a record while working through the task view. To delete a task while completing tasks consecutively, navigate back to the tasks index page to delete.

Complete tasks on a record

To complete a task when viewing a record:

  1. Navigate to your records.
  2. Click the name of the record.
  3. To view any tasks associated with the record, click Tasks in the middle panel.
  4. Locate the task you want to work with. If the task details are collapsed, click the rightright arrow in the top left of the task to expand it.
  5. Select the checkmark next to the task's title.

Complete tasks in Gmail

You can complete tasks in Gmail if you've connected the HubSpot Sales Chrome extension.

  1. Log in to Gmail.
  2. On the right side of your Gmail inbox, click the sprocket sprocket icon.
  3. Click the Tasks tab.
  4. Click the checkmark next to the task's title.
