Manage the contacts enrolled in your sequence

On the sequence summary page, you can keep track of which contacts are currently enrolled in the sequence. You can monitor their enrollment status and unenroll the contacts from the sequence. You can also pause or resume sequences, which is helpful when you are out of the office or on holiday. Additionally, you can also re-enroll contacts who were unenrolled because of an error.

Use the sequence summary page

On the sequence summary page, you can view which contacts are currently enrolled in your sequence.

  • In your HubSpot account, navigate to Automation > Sequences.
  • Click the name of your sequence.
  • At the top of the sequence summary page, use the filters to view enrollment data from a specific time range or for a specific user. Learn more about reporting on sequences.
  • In the upper right of the sequence summary page, you can take the following actions:
    • If you want to clone the sequence, delete the sequence, or move the sequence to a folder, click the Actions dropdown menu.
    • If you want to make changes to the sequence, click Edit. Learn more about editing an active sequence.
    • If you want to enroll more contacts in your sequence, click Enroll contacts.
  • The sequence summary page also includes a table with information about the enrolled contacts. To filter the data by the contacts' enrollment status, click the Status dropdown menu above the table.
  • The table includes the following information:
    1. The name of the contact.
    2. The company the contact is associated with.
    3. The date and name of the user who enrolled the contact.
    4. The latest step the contact has received in the sequence.
    5. The status of the sequence.
    6. The progress details of the sequence

  • Hover over the contact name and click the Actions dropdown menu to edit the enrollment, or pause, resume, unenroll or reenroll the contact.
  • To navigate to the contact's record to view more details, click the contact's name.

Pause and resume sequences

After you enroll contacts in a sequence, you may need to pause scheduled emails and tasks while you’re out of the office. You can pause an individual sequence or pause every sequence where there are contacts actively enrolled.

When you pause a sequence, only emails and tasks scheduled for the contacts that you enrolled will be paused. Contacts enrolled by other users won’t be paused.

To pause and resume an individual sequence:

  • In your HubSpot account, navigate to Automation > Sequences.
  • Click the name of the sequence.
  • In the top right, click the Actions dropdown, then select Pause.

  • To resume the sequence, in the top right, click the Actions dropdown, then select Resume.

You can also pause and resume an individual sequence from the Manage tab by hovering over the sequence and clicking the Actions dropdown menu.

To pause and resume all sequences at once:

  • In your HubSpot account, navigate to Automation > Sequences.
  • Click the Manage tab.
  • In the top right, click the Actions dropdown, then select Pause all.

Pause and resume individual sequence enrollments

You pause an individual contact's sequence enrollment from the contact's record: 

  • In your HubSpot account, navigate to Contacts > Contacts.
  • Click the name of the contact enrolled in the sequence. 
  • In the top right, in the alert above the contact's avatar, click Pause or Resume.

Once the contact's enrollment resumes, the sequence will start again where it left off. For example, if there was a two-day delay before the next step, the delay will start when the sequence resumes. Two days later, the next step will execute.

When a sequence is paused during a delay, the sequence will wait out the remainder of the delay before the next step executes. For example, if there is a three day delay in a sequence that is paused after two days, when the sequence resumes, there will still be one day left in the delay.

Re-enroll a contact in the sequence

If a contact is unexpectedly unenrolled from your sequence, you can manually re-enroll them from the sequence summary page. To re-enroll a contact, the inbox used for the contact’s original enrollment must still be connected.

Please note: if you made edits to an active sequence, the changes will not apply if you use the Re-enroll option on the sequence summary page. Learn how to re-enroll contacts after making updates to the sequence

  • In your HubSpot account, navigate to Automation > Sequences.
  • Click the name of your sequence.
  • Hover over the contact you want to re-enroll and click the Actions dropdown menu, then select Reenroll.
  • Modify the sequence in the dialog box if needed, then click Send.

Please note: contacts who have unsubscribed from emails cannot be re-enrolled.

Create saved filters/lists using the 'Now in Sequence' contact property

You may want to create a list or filter to keep track of all of your contacts who are enrolled in sequences. You can use the Now in Sequence contact property to create a saved filter of contacts who are or are not currently enrolled in a sequence:

If you have a HubSpot Marketing Hub Basic or Professional subscription, use the Now in Sequence contact property to create lists of contacts currently enrolled in a sequence. Learn more about the other available sequences contact properties that can be used when making filters and lists. 

 

Sequence Tasks

Please note: if you have tasks included in the sequence, you cannot complete the tasks in bulk. You will need to navigate to each contact record after the task is created to complete the task.

When a follow-up task reminder includes an email template, the task will be created when the contact reaches that sequence step.

  • If you added the task to a queue:
    • In your HubSpot account, navigate to Sales > Tasks.
    •  Click the name of the task. The email composer will open on the contact's record with the email template’s content already populated.

  • If you didn't add the task to a queue, the email composer will not automatically open when you navigate to the contact record. 
    • In your HubSpot account, navigate to Contacts > Contacts.
    • Select the contact.
    • Locate the Manual email task on the contact record, then click Review and send.
    • The email composer will open with the email template content.
