Set up user notifications in HubSpot

Last updated: September 13, 2018

User notifications alert you when various actions or activities occur in your account. You can control where you receive HubSpot notifications on your devices in your Profile & PreferencesThere are four channels you can receive notifications from:

  • Floating - notifications will appear in the top right corner of your HubSpot account.
  • Desktop - notifications will be sent to your desktop when you're not in the HubSpot app.
  • Email - notifications will be sent to your inbox.
  • Mobile - notifications will be sent to your mobile device.

Enabling notifications for a specific channel will automatically turn on all notifications for that channel, so all notification types will now send notifications to that particular channel. You can disable specific notification types for each individual channel in your notification settings. The following notification types can be customized:

  • Alerts: set your notification preferences for lead revisit notifications and prospect notifications.
  • Assign: set your notification preferences for when a contact, company, deal, task, or conversation is assigned to you by another member of your team. This assignment can be based off the default owner property or any custom owner property.
  • Commentset your notification preferences for when a comment is left on a project, blog post, or knowledge base article you're working on, or a project task that you own.
  • Custom automation notification: set your notification preferences for when a notification action is triggered in a workflow.
  • Export: set your notification preferences for when a file export is complete.
  • Follow: set your notification preferences for records that you're following.
  • Import: set your notification preferences for when your file imports are complete.
  • Mention: set your notification preferences for when a member of your team @mentions you on a record.
  • Overdue: set your notification preferences when a project you're assigned to or a project task that you own is overdue.
  • Reminder: set your notification preferences for task reminders and calendar and project reminders.
  • Share: set your notification preferences for when something is shared with you.
  • Status: set your notification preferences when there is a status change in your account. Salesforce-integrated users can set their preferences for when the Salesforce integration with HubSpot is suspended. Super Admins in HubSpot will have this setting turned on automatically. An email notification will be sent to any user who has this setting enabled.
Please note: most suspensions take care of themselves quickly and without user intervention. For this reason, the system will wait four hours to send the suspension notification email(s) to ensure that the suspension requires user intervention to resolve.
  • Submission: set your notification preferences when there's a new submission on a form or lead flow that you're subscribed to. View the forms you're set as a notifier on by clicking View subscriptions.
  • View: set your notification preferences when someone has viewed a document that you sent them.
Please note: notifications will not be sent out if you manually assign a contact, company, deal, or task to yourself or if you set the owner or custom owner property via the following sources: contact import, Salesforce, or marketplace integration.

To configure your notification preferences:

  • In your HubSpot account, click your account name in the top right corner, then click Profile & Preferences.

  • In the left sidebar menu, navigate to Notifications HubSpot.
  • Use the switches to control where you receive HubSpot notifications on your devices. Click to toggle a channel's switch off to disable all notifications for that channel. global-notification-switches
