Understand the property editor

The property editor is where you configure custom properties, including the property's name, the type of data it stores, the rules it adheres to, and who can view or edit it. Review the property editor's layout, terminology, and processes below to maintain your properties in HubSpot.

Please note: your account may use personalized names for each object (e.g., account instead of company). This article refers to objects by their HubSpot default names.

Property editor sections

Depending on the property and your account settings, you may see some or all of the following sections.

Details

Subscription required A Marketing Hub Enterprise subscription is required to use brands.

Use the Details section to define the property’s basic information:

  • Property label: the display name for the property. This is what users will see across the CRM such as records and index pages. The label can be changed after creating the property.
  • Internal name: the unique name for the property used for integration app sync and API calls. Click the codeIcon internal name icon to view or set the internal name (maximum 100 characters). The internal name cannot be edited after you create the property.
  • Object type: the object for which the property displays. By default, this is the object you selected before opening the editor. Object type cannot be edited after you create the property.
  • Brand: if your account has brands, select the brand the property belongs to.
  • Group: the section the property belongs to. Groups are visible to CRM users only and are used to sort similar properties together. You can create custom groups, view them in property settings, and view them on the View all properties section of a record.
  • Description: optional additional text to describe the usage and specific details about the property.

Field type

Use the Field type section to configure how property values are stored and displayed. When you select certain field types, additional configuration settings appear. You can also set default values for records created after the property was created or updated (public beta). Certain field types have different configuration options:

  • Number: select the format the values should be in. Options include Formatted number, Unformatted number, Percentage, or Currency

  • Date picker or Date and time picker: select how the date and time should appear, either Show date/time only (e.g., 01-14-2026) or Show date/time with relative time (e.g., 01-14-2026 (15 days ago)). Displaying relative time doesn't affect a date/date and time property's values. Relative time is not supported in forms, reports, or the mobile app. Learn about other ways to use today's date and relative time in your CRM.
  • Multiple checkboxes, Radio select, and Dropdown select
    • Label: the name of the option. The option's internal name is automatically generated based on the label.
    • Internal name: the name of the option used by APIs and integrations.
    • In Forms (contact properties only): toggle the switch to show or hide the property option in forms.
    • Add option: add a new option manually.
    • Load options: load multiple options together from a preset (e.g., Timezone), paste your own, or another enumeration property.
    • Option display mode: add color to the options for a visual identifier. Learn more about adding colors to enumeration properties.
  • File: select the file visibility, either Private or Public. This setting only affects the access of files uploaded in the CRM via the property, not files uploaded via form submissions. If you change the access setting, it will impact previously uploaded files. Regardless of a file property's visibility setting, you can restrict the property's view and edit access.
    • Private: only users who have access to your HubSpot account will be able to view the file.
    • Public: the file can be viewed by anyone with the file's URL, so this option is recommended for files used in public content such as website pages. The sharing URLs can be generated either by clicking Share or using the file_by_id HUBL function. The files' URL will be publicly accessible, but the files themselves will not be indexable or visible anywhere else in HubSpot.
  • Calculation: configure the calculation property.
  • Rollup: configure the rollup property.
  • Property sync: select the object and property to sync data from. If needed, specify which associated record to sync from based on its association label or when it was created. Learn more about configuring the property sync field type.
  • HubSpot user: configure to be either one or many (i.e. multiple HubSpot users can be selected as the value).

Rules

Subscription required An Enterprise subscription is required to create a custom global search property.

Use the Rules section to control where the property appears and what values users can enter. Available rules depend on the selected field type. Learn more about configuring validation rules or regular expressions (regex). Property visibility options include:

  • Global search results: allow values in the property to be searchable across objects in the global search bar. You can create up to 3 custom searchable properties per contact, company, deal, or ticket, and up to 20 per custom object.

  • Show in forms and chat tools: allows the property to be used in forms or chat tools. If you don’t want the property to be an option in those tools, clear this checkbox. Certain objects such as products do not have this option.

Sensitive Data

Subscription required An Enterprise subscription is required to create Sensitive Data properties.

Use the Sensitive Data section to manage the sensitivity of the property. Learn more about creating Sensitive Data properties.

Manage access

Use the Manage access section to control who can view and edit the property’s value on records. Learn more about managing view and edit access.

Preview

Use the Preview section to review how your property will look and function before you create or save it.

Data Agent

HubSpot Credits required HubSpot Credits are required to fill smart properties and use data agent.

Use the Data Agent section to create smart properties and configure automatic fill settings. Learn more about smart properties and data agent.

Monitor

Use the Monitor section to review property usage, data sources, and data quality after creating the property:

  • Usage: view where the property is being used in the CRM and the fill rate for records.

  • Data quality: set up or view property update anomalies. Learn more about data quality tools.

  • Data sources: view tools that update this property.
