View and filter record activities

You can view activities in bulk on index pages or for one record at a time on individual records. When viewing an individual record, the Activities tab is included by default, but you can also add default and custom activity cards to the middle column in your object settings.

Please note: for accounts with free tools created on or after February 4, 2025, only activities created within the last 30 days will appear on the activity timeline and activity cards. This applies to most activities excluding notes, tasks, a record’s pinned activity, or activities accessed via direct links. To view all activities created more than 30 days ago on a record, you must have a Starter subscription. If you have free tools and need to manage activities created more than 30 days ago, you can do so on the activity index pages.

View and filter activities on index pages

To filter, edit, or delete activities in bulk, you can use activity index pages. Learn how to edit the columns shown for activity views.

If your account has free tools, you can only view activities created within the last 30 days on individual records, but you can still edit or delete older activities on their index pages.

  • In your HubSpot account, navigate to CRM > Contacts, then click the Contacts dropdown menu and select the activity. The available activities are calls, communications (LinkedIn, SMS, and WhatsApp messages) emails, notes, postal mail, and tasks.
  • To open a view, click a tab. Learn more about creating and managing saved views.
  • To filter the activities by specific criteria, click a quick filter, or click Advanced filters to set custom filters. Learn more about filtering records.
  • To view or edit an individual activity, click the activity’s name.
  • To edit multiple activities, select the checkboxes next to activities to edit, then click Edit at the top of the table. Select a property to edit then set the new value. Learn more about editing in bulk.
  • To delete activities, select the checkboxes next to the activities to delete, then click Delete at the top of the table. In the dialog box, enter the number of activities to delete, then click Delete to confirm.

View and filter activities on a record

On the middle column of an individual record, you can view activities on the default Activities tab or on other tabs in default and custom activity cards.

Activities tab

The Activities tab is included by default on a record and shows all activities for a record. If your account has free tools, you can view all activities created within the last 30 days.

The selected activities and filters apply to all records for that object and are unique to each user.

  • Navigate to your records.
  • Click the name of a record.
  • In the middle panel, click the Activities tab, then click the Filter activity dropdown menu.
  • To include an activity type on the timeline, select the corresponding checkbox. Select the Select all checkbox to select all activity types.
  • To filter engagement activities created by or assigned to specific users or teams, click the All users or All teams dropdown menus and select a user or team. User and team filters will not be applied to other records of that object.
  • For fast filtering, click the Notes, Emails, Calls, Tasks, and Meetings tabs in the middle panel to see only the respective activity types.

Activity cards

Activity cards can be added to your records and sidebars in your object settings. The activity cards include:

Please note: if your account has free tools, only activities created within the last 30 days will be included on activity cards.

To access and use activity cards, you'll need to add them to your record view. If the cards are included on your records:
  • Navigate to your records.
  • Click the name of a record.
  • Navigate to the tab with the cards, then scroll to the card.
To use default the recent and upcoming activities cards:
  • To view specific activity types, click the Filter by dropdown menu, then select or clear the checkboxes next to the desired activities.
  • To expand or collapse an activity, click the right arrow to expand and the down arrow to collapse. To expand or collapse all activities on the card, click Collapse all, then select Expand all or Collapse all.
  • To edit an activity, expand the activity, then edit its details.
  • To view all details for an activity, expand the activity, then click View full activity.

To use the default Allbound Timeline card:
  • To view activities within a specific time frame, click All time, then select a time frame
  • To view specific activity types, click All activities, then select or clear the checkboxes next to the desired activities.
  • To filter by the user or team that assigned to the activity, click Activity assigned to then select checkboxes of specific users, or click HubSpot Team and select the checkboxes of specific teams. Select Unassigned to include only activities without owners.
  • To clear filters, click Clear all.
  • To view previous or future weeks, scroll left and right or click the left and right arrows. Click Today to return the calendar to the current day.
  • To view more details about an activity, click the activity, then review it in the right panel.
