Enroll existing objects that meet enrollment triggers in a workflow

You can enroll the existing objects who meet your workflow's enrollment triggers in your workflow before you turn the workflow on.

If the workflow is already turned on, when you update the enrollment triggers, you can also opt to enroll existing objects who meet the updated triggers. This setting is only available for company-based, deal-based, quote-based, and ticket-based workflows.

 

New contact-based workflow

To enroll existing contacts who meet the enrollment triggers in a new contact-based workflow:

  • In your HubSpot account, navigate to Automation > Workflows.
  • Click Create workflow
  • Name your workflow, select the contact-based type workflow, then click Create workflow.
  • From within the workflow editor, set the desired enrollment triggers.
  • Select the checkbox Enroll contacts who already meet these criteria.

  • Click Save.
  • Once you have completed your workflow, click Review at the top right of the workflow. Review your workflow settings, including the Existing contacts section. Click Edit to make any changes.

  • Click Turn on to take your workflow live.

 

New company-based, deal-based, quote-based, or ticket-based workflow

To enroll existing objects who meet the enrollment triggers in a new company-based, deal-based, quote-based, or ticket-based workflow:

  • After creating and setting up your company-based, deal-based, quote-based, or ticket-based workflow, click Review.
  • To enroll existing objects that meet the enrollment triggers, select Yes, enroll existing [objects] which meet the trigger criteria as of now.
  • Once you've reviewed the rest of the workflow settings, click Turn on to take your workflow live.

 

Existing company-based, deal-based, quote-based, or ticket-based workflow

After updating the enrollment triggers in an active company-based, deal-based, quote-based, or ticket-based workflow, you can opt to enroll any existing objects that meet the new set of enrollment triggers.

  • In your HubSpot account, navigate to Automation > Workflows.
  • Click the name of the existing active workflow.
  • Click the [Object] enrollment trigger box and update the enrollment triggers in the right pane.
  • Click Save to continue.
  • A dialog box will display the number of existing objects that meets the new set of enrollment triggers. Click Yes to enroll any existing objects that meet the new trigger criteria.
    • If re-enrollment is turned on for your workflow, objects that meet the new trigger criteria, including objects that have previously been enrolled in the workflow, will be enrolled.
    • If re-enrollment is turned off for your workflow, only objects that meet the new trigger criteria and have not enrolled in the workflow yet will be enrolled.

Please note: depending on the desired outcome, you can turn re-enrollment on or off prior to updating your enrollment triggers.
