Manage phone numbers

After setting up the calling tool, you can acquire additional HubSpot provided phone numbers, reassign a HubSpot provided phone number, or edit the forwarding number. You can edit, delete, or register additional outbound phone numbers as needed.

You can also view your account's remaining HubSpot provided phone numbers and available calling minutes. To add more minutes or HubSpot provided phone numbers, learn more in HubSpot's Products & Services catalog.

Manage HubSpot provided phone numbers

You can connect a phone number to one of the following:

  • User: assign a personal number or HubSpot owned number to a seated user.
  • Inbox/Help Desk: assign a HubSpot phone number to an inbox or help desk. This supports ringing multiple users at once (in browser) for inbound calls.
  • Interactive Voice Response (IVR): assign a HubSpot phone number to an Interactive Voice Response menu. Inbound calls will trigger the IVR menu, which will handle any further routing.

To manage your existing HubSpot provided phone numbers:

  • In your HubSpot account, click the settings settings icon in the top navigation bar.
  • In the left sidebar menu, navigate to Calling.
  • On the Phone Numbers tab, review the list of your registered phone numbers. The HubSpot provided phone numbers will have HubSpot listed as the phone number source.

  • To reassign a HubSpot provided phone number to another user or unassign it, click the Actions dropdown menu next to the number, then select Edit. In the right panel, use the dropdown menu to select another user or unassign, then click Save

Please note:

  • To assign a HubSpot provided phone number to a help desk or inbox, the phone number must be unassigned. Learn how to set up a calling channel to assign a phone number to a help desk or inbox.

  • To make changes to the forwarding number, click the Actions dropdown menu next to the number, then select Edit. In the right panel, edit the forwarding phone number in the text field, then click Save
  • To delete a number, click the Actions dropdown menu next to the number, then select Delete. In the dialog box, enter the phone number in the text field, then click Delete.
  • To acquire another HubSpot provided phone number, click Get a HubSpot number.

Manage outbound phone numbers

You can manage your registered outbound phone numbers or add more outbound phone numbers in your personal calling settings.

  • In your HubSpot account, click the settings settings icon in the top navigation bar.
  • In the left sidebar menu, navigate to General.
  • Click the Calling tab.
  • To add additional phone numbers, click Add phone number.

  • Multiple users can use an outbound number if it's not HubSpot provided. To reassign an outbound phone number, the new user would have to register the number also.
  • To remove an outbound phone number as an option for calling, next to the number, click the Actions dropdown menu and select Delete.

Block phone numbers

You can manage and block high-risk or non-compliant phone numbers for enhanced call control. 

  • In your HubSpot account, click the settings settings icon in the top navigation bar.
  • In the left sidebar menu, click to expand the Calling tab, then click Blocked Numbers List.
  • Click Add number.
  • In the dialog box, type the phone number, then click Add. The phone number will appear in the table.

  • To remove a number from the block list, hover over the number, then click Remove. In the dialog box, click Remove.

Add more minutes or HubSpot provided phone numbers (Sales Hub or Service Hub Professional or Enterprise only)

There's a limit to the number of HubSpot provided phone numbers that you can acquire. Each HubSpot account also has a pooled limit of available calling minutes that are shared between users. Both of these limits are based on your HubSpot subscription. In your calling settings, you can view your remaining calling minutes and HubSpot provided phone numbers.

  • In your HubSpot account, click the settings settings icon in the top navigation bar.
  • In the left sidebar menu, navigate to Calling > Call Setup.
  • In the Usage, limits, and subscriptions section on the Phone numbers tab, review your minute usage for the month and how many HubSpot provided phone numbers are in use.

If you're a super admin in a Sales Hub or Service Hub Professional or Enterprise account, you can purchase additional calling minutes and/or HubSpot provided phone numbers from the Create a Bundle page of HubSpot's pricing page, or by contacting your Customer Success Manager.

From the HubSpot's pricing page:
  • In the left sidebar menu, navigate to Create a Bundle.
  • Select the checkboxes next to the products your account has. Then, in the Add-ons section, you can review the available add-ons and increase your calling minutes and/or phone number limits.
