How can I create Sequences and enroll my contacts?

Sequences, available for HubSpot Sales Pro users, allows salespeople to send a series of targeted, timed emails to nurture a prospect over time. With this tool you have the ability to:

  • Send one contact a series of templates at specified time intervals.
  • Automatically end the Sequence when the contact replies to an email.
  • When enrolling a contact in a Sequence, you have the option to edit or personalize any of the templates in the Sequence.

With Sequences, you can stop worrying about following up with leads after you send the first template, it all happens automatically! Sequences is only available for users with cloud-based email inboxes using G Suite (formerly known as Google Apps) or Office 365.

Create a Sequence

  • To create a Sequence, navigate to HubSpot Sales > Sequences from within your HubSpot Sales tools.
  • Select Create Sequence to create a new Sequence of templates.

  • You will now have the ability to customize the Sequence. Start by giving the Sequence a name.
  • Next, you have the option to add steps to your Sequence by dragging either a Task or Template from the left content sidebar.

  • Repeat, adding the rest of the steps.
  • You will be able to select the amount of time allotted between steps. For example, If no reply after 3 Days, then send... send the next template

  • Add steps until your Sequence is complete. Keep in mind that each Sequence is limited to 5 email templates, although you can add as many Task reminders as you would like.
  • There is a limit of 1000 Sequences/user/month.


Enroll a contact in a Sequence

Once you've created a Sequence, you're ready to enroll a contact! To do so:

  • Navigate to Contacts and select the individual you would like to enroll.  
  • In the top right corner of the record, click Email > Sequences and select your Sequence by name.

  • Once you have made your selection, you'll have the option to customize and review the Sequence before finalizing the enrollment.
  • You can choose to begin the sequence at any step by selecting the dropdown labeled Initial Touch.
  • Finally, select a specific starting date and time for the Sequence to begin.
  • Once you are satisfied, select Enroll and send step #1.

Note: you can also quickly enroll multiple contacts in Sequences using the Call Queue. To do so, go to Sales Tools Call Queue and click Start calling. Turn off the automatically start call feature by clicking the Delay between calls dropdown. Enroll a contact in a Sequence from Gmail

It is also possible to enroll a contact in a Sequence directly within Gmail. To do so:

  • Compose a new email.
  • Enter your recipient.
  • Click Sequences.

  • After selecting Sequences, you will be presented with a modal box where you will be able to select a Sequence by name.

  • Finally, you'll be given the same Review and Customization options as within the CRM.


Enroll a contact in a Sequence from Outlook for Desktop

It is also possible to enroll a contact in a Sequence directly within Outlook for Desktop. To do so:

  • Compose a new email.
  • Enter your recipient.
  • Click Sequences.

  • After selecting Sequences, you will be presented with a modal box where you will be able to select a Sequence by name.

  • Finally, you'll be given the same Review and Customization options as within the CRM.
